Invoices Report

The Invoices Report is located under the Reports menu. There are three main areas of this report page as follows:

  • Filter - Various fields used to specify the search criteria for the invoices you wish to view. There are minimum required filters to run the report. These are identified in the "Filters" section below.

  • Filtered Summary Amounts - Contains various sums across all invoices based on the filter criteria applied.

  • Filtered Results Grid - Contains the list of invoices returned based on the filter criteria applied. The list may span multiple pages; this is indicated at the bottom of the grid.

Filters

There are minimum required filter fields as identified in the following table.

Field name

Description

Invoice #

CONDITIONAL. Only required if not entering Invoice Date. To search for a specific invoice, enter invoice number.

Dates - Invoice, Due and Paid

CONDITIONAL. Only required if not entering Invoice #.

Select one of the date radio buttons and complete the From and To fields or select a date range from the dropdown list above the "From:" field.

Buyer

OPTIONAL. The customer. This field only displays for merchants that support buyers.

Buyer Division

OPTIONAL. A logical grouping of the Buyer's invoices/payments based on the Merchant's business needs. This could be by location or perhaps some sort of business division. This field only displays for merchants that support buyers.

Currency

OPTIONAL. The currency of the invoice.

Status

OPTIONAL. The potential statuses include:

  • Open - Invoice has no successful payments against it.

  • Scheduled - Invoice has a payment scheduled for a future date for the entire remaining balance.

  • Partial/Sched - Invoice has part of the balance scheduled for a future date.

  • Partial - Invoice has part of the balance paid and no payments are scheduled for a future date.

  • Pending - A payment has been made against the invoice that will pay-off the balance, but it is not fully processed and complete (i.e., it has not been settled).

  • Paid - Invoice is paid in full.

  • Overpayment - Payments have been made against the invoice that exceed the amount due.

  • Canceled - The invoice was deleted by the Merchant and does not require payment.

  • Residual Closed - The Merchant has configured residual payments and a payment was made for less than the balance.

  • Residual Failed - A residual payment failed at settlement.

Filtered summary amounts

The summary totals include all invoices in the filter results, not just the invoices that are currently displayed on the page you are viewing.

Field name

Description

Total

The total amount across all invoices returned based on the filter(s) applied.

Outstanding

The total remaining balance amount of all invoices returned based on the filter(s) applied.

Past Due

The total past due amount of all invoices returned based on the filter(s) applied.

Amount Paid

The total amount paid across all invoices returned based on the filter(s) applied.

NOTE: If the results of your filter criteria contain multiple currencies, a message display in the Summary Amounts area as follows:

Filtered data contains multiple currency types. Cannot display filtered summary totals.

Filtered results grid

Before reviewing the field description table below, following is some additional information related to this section.

  • Text Color - there are a couple of circumstances under which the text in the results section will be red:

    • Rows with only the Balance displaying in red = overpayment

    • Rows with all text displaying in red = past due

  • Transaction, Line Item and/or Scheduled Payment Information:

    • Click the right-arrow icon to the left of the Invoice # to expand that section and view this additional information if available or applicable.

  • If enabled, you will see an export option on the upper right-side of the results grid.

Field name

Description

Amount Paid

The total amount that has been paid on the invoice.

Balance

The total amount billed minus any payments.

Buyer

Optional entity in the BillPay system to which Invoices are associated. Buyers are created in BillPay via Batch or RESTful API processing from the ERP system. A Merchant can choose to NOT implement Buyers in BillPay and use a custom field to associate invoices to Customers.

Buyer Division

A logical grouping of the Buyer's invoices/payments based on the Merchant's business needs.

This could be by location or perhaps some sort of business division. There may only be a single selection in this dropdown.

Buyer Division Merch Ref

The code that is associated with the Buyer Division. There is a one-to-one relationship between this value and the Buyer Division.

Buyer Ref

The reference ID associated with the Buyer.

Currency

The currency of the invoice.

Discount

The discount amount applied to the invoice.

Due Date

The date the payment is due.

Invoice #

The invoice # generated by the Merchant.

Invoice Date

The date the invoice was created/billed.

Invoice Total

The total amount billed.

Memo

Text field for the Merchant to provide additional Invoice information.

Merchant Custom Data

Optional custom fields that can be implemented by the Merchant if it is enabled in the Merchant's BillPay Profile.

These are configured in Merchant Portal.

Merchant Division Ref

The code associated to the Merchant Division that was configured in Merchant Portal.

This value + currency + payment type is what is used to determine to which XiPay XIID (a.k.a. Payment Configuration or Service ID) any payments/transactions against the invoice are routed.

Paid Date

Date the Invoice was paid.

PO#

The PO number for the invoice provided.

Status

The status of the invoice.

  • Open - Invoice has no successful payments against it.

  • Scheduled - Invoice has a payment scheduled for a future date for the entire remaining balance.

  • Partial/Sched. - Invoice has part of the balance scheduled for a future date.

  • Partial - Invoice has part of the balance paid and no payments are scheduled for a future date.

Tax

The tax amount.

There may be additional custom fields implemented by the Merchant if it is enabled by the onboarding team in the Merchant's BillPay profile. These are configured in Merchant Portal.
