Processing Authorizations

This section contains all of the authorization-related operations that can be performed in XiPay WebGUI.

Access to the Operations menu and the individual operations within the menu is controlled by security permissions assigned by a designated Approving Manager at your Organization. So, depending upon your permissions, the Operations menu may be limited.

If you only have the Reporting permission, the Operations menu contains the Advanced Search option only.

Authorize

Authorize is used to create a new transaction and authorize an amount with the processor. The information varies based on your configuration settings and processor.

If alternative payment types are supported (such as Bill Me Later), these options will be included in the Card Type drop-down. The appropriate fields display based upon your Card Type selection.

Possible transaction statuses include the following:

  • 100 - Authorized: Authorization was successful. The transactions can now be scheduled for settlement.

  • - 100 - Authorization Error: Transaction did not pass XiPay data validation.

  • - 101 - Authorized Failed: Transaction did not pass processor validation. Message from processor provided in the Error reports.

Verbal Auth

Verbal Auth is usually used when an original authorization attempt is returned with a Call or Referral message. These credit card requests are authorized over the phone and the authorization reference code is given verbally. It is similar to a standard authorization except a manual authorization code must be provided when submitting the transaction.

For the following processors, verbal authorizations require additional information not supported in the XiPay WebGUI and require customizations from the source system:
  • CyberSource

  • Digital River Netgiro

Possible transaction statuses include the following:

  • 100 - Authorized: Authorization was successful. The transactions can now be scheduled for settlement.

Credit

Credit is used to credit an amount to the credit card for authorized transactions. (See Authorize operation above for details). A credit is essentially an authorization with a negative amount. The original XiPay Transaction ID can be captured in the Ref. Trans ID field for informational purposes. Depending upon your Processor, this may be a required field.

Possible transaction statuses include the following:

100 - Authorized: Authorization was successful. The transaction can now be scheduled for settlement.

-100 - Authorization Error: Transaction did not pass XiPay data validation.

-101 - Authorized Failed: Transaction did not pass processor validation. Message from processor provided in the Error reports.

Cancel Auth

Cancel Auth is also referred to as voids. Used to cancel an authorization that has not been submitted for settlement. This means it can be performed on transactions that are in any of the following statuses:

  • 100

  • 101

  • 110

  • - 100

  • - 101

  • - 111

XiPay submits a reversal message to the processor, when supported, for the purpose of releasing the funds back to the cardholder's "open-to-buy" (i.e., release the authorization).

Some issuing banks support a real-time "void" (or reversal) which would remove the reservation of funds immediately; however, given this varies by card issuer, the cardholder must contact the card issuer directly and confirm if the hold on funds has been released. Once a transaction has been submitted for settlement, it cannot be canceled; a credit has to be issued.

Possible transaction statuses include the following:

  • 500 - Voided: Transactions is marked as "Voided" in XiPay and no further processing occurs. Steps may be required in your systems depending upon your business processes.

  • - 500 - Void Error: Transaction did not pass XiPay data validation. No further processing occurs. No further action is required.

  • - 501 - Void Failed: Transaction did not pass processor validation. Message from processor provided in the Error reports. Requires follow-up with processor or issuer to ensure the funds will get released. No further action is required in XiPay.
